Creating Groups of Users for Question Assignment

Created by Peter Bonney, Modified on Mon, 14 Oct, 2024 at 3:49 PM by Peter Bonney

In some cases you might not have a specific user to whom you want to assign a question, but rather a group, any of whom are able to answer. For example, you might want to assign a question to "Legal", and have a handful of designated Subject Matter Experts (SMEs) in Legal who can jump in.

The first step is to set up a group of users.

To add a User to a User Group

  • Go to your Organization settings page: https://app.vendorful.ai/organization
  • Edit the Current User or add/select user from Users list to Edit
  • On the Edit User screen, select any User Groups to add the user to and click "Update"

Once a User is in a Group, the User Group can be used wherever user assignments are used:

  • Assign Question dropdown
  • Filter Response Questions by "Assigned to"
  • Bulk Assign Questions
  • User Tasks page - "Assigned to You"/"Assigned by you" shows questions assigned through Groups

If a User is added to (or removed from) a Group and that Group is assigned to Questions, that User will also receive a retroactive Assignment to (or be unassigned from) those Questions. For example if there is a group called IT and it is assigned to a Question X, any user added to IT at any point will also see Question X in the "Questions Assigned To You" Tasks Page.
